Pay Stubs for Loan Applications: What Lenders Look For
What lenders want from pay stubs: a recent stub with YTD, W-2s, employer verification and IRS transcripts, plus how hourly, salary and overtime are counted.
Updated November 1, 2026 · Reviewed against official sources
Landlords glance at pay stubs. Lenders underwrite them. A mortgage underwriter turns your stubs into a monthly income figure using written rules, then checks that figure against your W-2s, your employer and, often, the IRS. Stubs that are recent, complete and consistent with those records make the process smooth. Anything that doesn't reconcile becomes a condition you have to clear.
The details below follow Fannie Mae's Selling Guide, a common reference for conventional mortgages. FHA, VA and other lenders have similar but not identical rules, so confirm specifics with your loan officer.
What lenders typically request
| Document | Typical standard |
|---|---|
| Most recent pay stub | Dated no earlier than 30 days before the initial application date, with all year-to-date earnings |
| W-2s | The most recent one or two years, depending on the income type. "Most recent" means the prior calendar year. A year-end paystub can stand in for a W-2 |
| Verification of employment | A verbal check with the employer no more than 10 business days before the note date |
| IRS transcripts | Wage and income or return transcripts, requested with your signed Form 4506-C through the IRS IVES service |
| Bank statements | Mainly to document down payment and reserves, but deposits are visible too |
| Tax returns | For self-employed borrowers and some income types |
FHA guidance has called for pay stubs covering at least 30 consecutive days, or 28 days for weekly or biweekly pay, with year-to-date earnings, plus either a written verification of employment covering two years, or the two prior years' W-2s with a phone verification.
An alternative route: Fannie Mae allows a completed Form 1005, Request for Verification of Employment, from the employer in place of the paystub and W-2.
How lenders calculate your income
| Income type | How it's figured | History needed |
|---|---|---|
| Salary | Gross by pay frequency: biweekly × 26 ÷ 12, semimonthly × 24 ÷ 12 | No minimum for fixed base pay |
| Hourly, fixed hours | Rate × average weekly hours × 52 ÷ 12 | No minimum for fixed base pay |
| Hourly, varying hours | Average of YTD and prior-year earnings, or average monthly hours × current rate | 12 months |
| Overtime, bonus, commission | Average of YTD and prior-year earnings, at least 12 months; declining income must stabilize first | 2 years recommended; 12 months may be acceptable with offsetting factors |
| Self-employed (25%+ owner) | From tax returns and a cash-flow analysis | Generally 2 years of returns |
The YTD figure is central. Fannie Mae requires qualifying base income to be consistent with year-to-date base earnings. When a borrower has been paid for less than 30 days in the current year, the lender must check consistency against the prior year.
Worked example: salary plus overtime
A borrower applies in April 2026. She earns a salary of $2,400 biweekly plus overtime. Her 2025 W-2 and paystubs show $4,800 of overtime for 2025. Her latest stub shows $1,350 of overtime year to date through March.
| Step | Calculation | Monthly |
|---|---|---|
| Base pay | $2,400 × 26 ÷ 12 | $5,200.00 |
| Overtime trend | 2025: $4,800 ÷ 12 = $400 a month. 2026 YTD: $1,350 ÷ 3 = $450 a month, stable to rising | — |
| Overtime used | ($4,800 + $1,350) ÷ 15 months | $410.00 |
| Qualifying income | $5,610.00 |
If her 2026 overtime had been running well below 2025, the lender would first need evidence the decline had stabilized, and might not count overtime at all. That's why the stub's YTD overtime line matters as much as the current check. Our hourly vs. salary guide shows how each stub type presents these figures.
How stubs get cross-checked
- YTD against W-2s. Last December's final stub should match last year's W-2, and this year's YTD should fit the pattern.
- W-2s against IRS records. With Form 4506-C, the lender can get transcripts directly from the IRS. Wage figures that differ from what the employer filed are a hard stop.
- Employment directly with the employer, close to closing, by phone, in writing or through a verification vendor.
- The source of the documents. Fannie Mae accepts typed or computer-generated documents, including stubs downloaded from the internet, but they must clearly identify the employer and the source, and the original source must be a third party such as the employer, its payroll department or a payroll vendor.
Who legitimately creates stubs for a loan file
Small employers issuing stubs to staff. If you run payroll without software, the stubs you issue to employees are employer documents. Make them complete, with employer name and address, pay dates, rates, hours and YTD, because your employee's lender will verify them with you. Our small business guide covers the workflow.
Owners paying themselves through payroll. Stubs for your own S corporation wages document current pay, but at 25% or more ownership the lender treats you as self-employed and qualifies you mainly on tax returns. Bring both.
Contractors. Contractor income is self-employment income to a lender. Contractor payment statements help show this year's activity, but expect the lender to rely on your tax returns and 1099s.
Employees whose employer never issued stubs. Ask your employer for stubs or a completed Form 1005; either comes from the employer, which is what underwriting requires. A record you prepare from your own deposits can help you explain your income, but tell your loan officer you prepared it. The lender will verify with your employer and the IRS regardless.
Accuracy is the whole point
Misstating income to a federally insured bank or a mortgage lender is a federal crime under 18 U.S.C. § 1014, with penalties up to a $1,000,000 fine and 30 years in prison. Inflated stubs also fail on their own terms: they don't match W-2s, IRS transcripts or the employer's answer. We make stubs for real pay, built from actual earnings records and the IRS withholding rules. Accurate stubs that reconcile with everything else in the file are what get loans approved.
Fast steps to accurate stubs for a loan file
- Gather source records: pay rate, hours per period, W-4 entries, pre-tax deductions, pay dates, and prior YTD from the last stub your payroll produced.
- Build the recent pay dates in our generator, covering at least the last 30 days before the application.
- Reconcile on the free preview: net pay to bank deposits, YTD to your records, and last year's December YTD to the W-2.
- Download as one PDF for the lender's portal, with a free direct deposit advice slip on each stub. Four biweekly stubs, about two months of pay, cost $25.96 in one order.
Corrections are free for 30 days through order lookup, if your loan officer spots a typo.
Frequently asked questions
How recent does my pay stub need to be for a mortgage?
For loans sold to Fannie Mae, the most recent paystub must be dated no earlier than 30 days before the initial loan application date and must include all year-to-date earnings. FHA guidance has called for stubs covering at least 30 consecutive days, or 28 days for weekly or biweekly pay, showing year-to-date earnings.
How do lenders calculate income from a pay stub?
For a fixed salary, monthly income is gross pay converted by pay frequency, for example biweekly gross × 26 ÷ 12. For hourly pay with fixed hours, rate × average weekly hours × 52 ÷ 12. Variable hours, overtime and bonuses are averaged over at least 12 months, using YTD and prior-year earnings.
Do lenders check pay stubs against other records?
Yes. They compare YTD earnings with W-2s, may pull IRS wage and income transcripts with your signed Form 4506-C, verify employment directly with your employer close to closing, and review bank statements.
I own my business. Will my pay stubs be enough?
Usually not on their own. Fannie Mae treats anyone with a 25% or greater ownership interest as self-employed and generally relies on two years of personal and, in some cases, business tax returns. Stubs from your own payroll help document current wages but don't replace the returns.
Can a lender use something other than my pay stubs?
Yes. Under Fannie Mae's guidance, a completed Request for Verification of Employment (Form 1005) from your employer can stand in for the paystub and W-2, and a year-end paystub can stand in for a W-2.
