How to Correct a Pay Stub Error

Found a pay stub mistake? How employers fix wrong hours, rates, taxes or YTD, when a W-2c or wage claim applies, and how our free corrections work.

Updated November 1, 2026 · Reviewed against official sources

Pay stub errors come in two kinds: the ones that are only on paper, like a misspelled name or wrong dates, and the ones that mean money went to the wrong place, like missing hours, the wrong rate or the wrong withholding. Who fixes it, and how fast, depends on which kind it is and who issued the stub.

First, pin down the error

Error Example What it affects
Identity Name misspelled, wrong SSN digits, old address Records only, unless it carries into the W-2
Dates Wrong pay period or pay date Which period, or which tax year, the pay belongs to
Hours or rate 6 overtime hours paid as 4, an old pay rate Gross pay, every tax, net pay
Withholding New W-4 not applied, wrong state Taxes and net pay
YTD Totals that skip or double-count a paycheck Every later stub, and the W-2

Check the math before you ask. Social Security should be 6.2% of Social Security wages and Medicare 1.45%. Each stub's YTD should equal the last stub's YTD plus this stub's current amounts. Our guide to reading a pay stub walks through each check.

If your employer issued the stub

1. Write to payroll or HR. Attach the stub and your evidence: a timesheet, the rate change notice, or the W-4 you submitted. Say exactly which line is wrong and what it should be. A written request creates a record.

2. Expect the fix in one of three ways. A corrected stub, an adjustment on the next paycheck (back pay for missed hours, for example), or both. Withholding that was too low can be made up from later pay in the same year. The IRS lets employers collect under-withheld taxes from later paychecks, but income tax must be recovered by the end of the calendar year.

3. Watch the calendar for withholding errors. Employers can correct income tax withholding errors only in the calendar year the wages were paid. After December 31, the W-2 controls, and over- or under-withholding is settled on your tax return.

4. If wages are still unpaid, file a wage claim. Unpaid wages are a labor law matter, handled by your state:

  • Texas: a Payday Law wage claim with the Texas Workforce Commission, filed within 180 days after the wages were due
  • California: a wage claim with the Labor Commissioner's Office (DLSE)
  • New York: a claim with the Department of Labor's Division of Labor Standards

5. At year-end, check the W-2 against your last stub. If a W-2 is wrong, the employer issues a Form W-2c. If the employer won't correct or provide it by the end of February, the IRS says to call 800-829-1040 with your details and the employer's. If it still doesn't arrive in time, you can file with Form 4852 and estimate the wages and withholding, then amend if the real form differs.

Corrections to our stubs are free for 30 days, and you don't need an account.

  1. Go to order lookup and open your order with your email and order number, or a one-time email link.
  2. Start a correction and fix the entry.
  3. Check the corrected preview. Taxes, net pay and YTD recalculate from your fix.
  4. Download the corrected version. We keep the original version too.

What counts as a correction: typos and errors in the same document and pay periods. That includes a misspelled name, wrong SSN digits, a wrong rate or hours, a missed deduction, or the wrong W-4 status. What's a new document: a different person, a different employer or a different pay period. Those are new stubs, not corrections.

Our 24/7 chat support can start a correction for you in seconds. Our team handles escalations at hello@paystubshop.com.

Worked example: an overtime typo

You built a stub for the April 17, 2026 pay date, for a Texas employee paid $22.00 an hour (overtime $33.00), single, standard W-4. You typed 8 overtime hours instead of the 6 on the timesheet:

Line As built (8 OT hrs) Corrected (6 OT hrs)
Overtime pay $264.00 $198.00
Gross pay $2,024.00 $1,958.00
Federal income tax $159.03 $151.11
Social Security $125.49 $121.40
Medicare $29.35 $28.39
Net pay $1,710.13 $1,657.10

The two hours change five lines, not one. That's why correcting a stub means recalculating, not editing a single number. If the stub is part of a run, a corrected current amount should also change the YTD on every later stub in that run. Check that it does before you download.

When a correction can't fix it

All sales are final, and typos you entered are fixed with a free correction. If we made an error, a document didn't arrive, or you were charged incorrectly, contact support within 14 days and we'll correct or refund it.

Prevent the next one

  • Build stubs from source records: timesheets, rate notices, the W-4 on file.
  • Enter prior YTD from the most recent real stub, not from memory.
  • Use our free preview to check every line before paying.

Frequently asked questions

My employer's pay stub is wrong. What should I do first?

Tell payroll or HR in writing, with the stub, the line that's wrong and what it should say, plus your timesheet or rate notice. Most errors are fixed on the next paycheck or with a corrected stub.

What if my employer underpaid me and won't fix it?

File a wage claim with your state labor agency. In Texas, a claim under the Payday Law must be filed within 180 days after the wages were due. California's Labor Commissioner and the New York Department of Labor also take wage claims.

How do I fix a mistake on a stub I bought from PayStubShop?

Open your order from order lookup within 30 days, correct the entry in the same document and pay periods, and download the corrected version for free. We keep the original too. A different person, employer or pay period is a new document.

Can a withholding error be fixed after the year ends?

Generally not by the employer. Employers can correct income tax withholding errors only in the same calendar year the wages were paid. After that, the W-2 or a W-2c governs, and the difference is settled on your tax return.
